Managing Timebanks

This page is for Community Builders, and relates to the mangement for the different Timebanks across Torbay.

You can manage your community, and all the exchanges in your community from the CMS. Go to torbaytogether.org.uk/cms  then log in using your email address and password and you will be able to do the following:

 

 


 

1. Approve new timebank users in your community.

5. Log offline exchanges 

2. Approve groups and organisations for timebanking. 6. View statistics
3. Review all the Offers and Requests 7. SMS Alerts
4. Manage exchanges (Refunds and Paying Credits)  

 


 

Approve new timebank users in your community

 

As a community builder you will be assigned a location to be in charge of. When a new person wants to join your timebank you, and only you will receive a email notification telling you that someone has submitted a request to join. The following steps will take you through the approval process:

 

  • Login to torbaytogether.org.uk/cms
  • Click on the menu and select “Community Exchange
  • Next click “Exchange Users
  • Scroll to the bottom of the list to see the most recently added requests
  • Click on “Manage” next to the new person’s name
  • Scroll down through their profile information and check all the details
  • Follow up on the provided references
  • When happy click “Approved for exchange
  • Finally click “Submit User Changes” button.

 

 

 

Approve new timebank groups and organisations in your community

 

As a community builder you will be assigned a location to be in charge of. When a new group or organisation wants to join your timebank, you, and only you will receive a email notification telling you that someone has submitted a request to join. The following steps will take you through the approval process:

 

  • Login to torbaytogether.org.uk/cms
  • Click on the menu and select “Community Exchange
  • Next click “Exchange Groups and Orgs
  • Scroll to the bottom of the list to see the most recently added requests
  • Click on “View and Approve” next to the new group’s / Organisation’s name
  • View and check the provided details
  • When happy click “Approve

 

 

 

View all Offers and Requests

 

You can view all the offers and requests started by your community. You can will be able to see a list of everything added, the details and the contact information of the user.

 

  • Login to torbaytogether.org.uk/cms
  • Click on the menu and select “Community Exchange
  • Next click “Manage Exchanges
  • Scroll through the list of offers and requests
  • Click "Manage" to view offer and request details.

 

 

Manage exchanges

 

As a community builder you also have the ability to see who has requested to exchange with who under each offer and request. You’ll be able to see when they exchanged and if the exchange has been completed / paid. You have the ability to refund a exchange or even complete / pay an exchange.

 

  • Login to torbaytogether.org.uk/cms
  • Click on the menu and select “Community Exchange
  • Next click “Manage Exchanges
  • Scroll through the list of offers and requests
  • Click “manage” to view offer and request details.
  • Click “View transactions” at the top of the page
  • Click “Pay” to complete an exchange
  • Click “Refund” to refund an exchange

 

 

Log offline exchanges

 

As a community builder you can log any timebank exchnages that happen offline, between users who don't have access to the website. This is done via a simple online form within the CMS.

 

  • Login to torbaytogether.org.uk/cms
  • Click on the menu and select “Offline exchanges
  • Click either “Offer” or "Request
  • Add the "Person giving credits" (received the time), start typing their username in the search bar and click on the name when it appears.
  • Add the "Person receiving credits" (giving the time), start typing their username in the search bar and click on the name when it appears.
  • Type in the Number of hours exchanged
  • Select the date of the exchange by clicking on 'mm/dd/yyyy' or type in the date using the format 'mm/dd/yyyy'.
  • Click the location in which the exchange took place.
  • Click 'Submit' button at the bottom of the form.

Once complete you should see the message: "Exchange successfully added" in blue. This tells you that th exchange has been logged and the credits scores have been updated.

Donating credits to a member from the Community Pot

  • Login to torbaytogether.org.uk/cms
  • Click groups
  • click community pot
  • Click on ‘Timebank’ on top bar
  • Click on 'Donate credits'
  • Click on ‘Individual, group or organisation’ and type in username
  • Choose how many credits to donate
  • Click donate

 

 

View statistics

 

You can see how well your community is doing in the statistics page. This records the number of new members, the number of hours added to a timebank and the credits spent and earned. This feature is for creating funding reports.

 

 

  • Login to torbaytogether.org.uk/cms
  • Click on the menu and select “Community Exchange
  • Next click “Statistics

 

SMS Notifications

By default all users of TorbayTimebank will recieve notifications via email. However if you have timebank members in your community who do not have regular access to email, you can set them up to receive SMS text alerts instead.

To set up a member for SMS alerts not email notifications you will need to follow these instructions:

 

  • Login to torbaytogether.org.uk/cms
  • Click on the menu and select “Community Exchange
  • Click  “Exchange Users” 
  • Find the user you are looking for in the list and click "Manage"
  • Scroll down the page till you find "Email or SMS notifications"
  • Click "SMS"
  • Type in the mobile phone number without any spaces.
  • Scroll down to the bottom of the page and click "Submit user changes".
